From scattered files to one system for the whole project

Drobs is building an internal system around Woodsystem’s real house-building workflow, from the first inquiry to the handover of the finished home.

Challenge

Project information was spread across disconnected Excel files, email, and shared folders. Employees repeatedly copied and formatted the same information across documents, then passed those documents to one another manually. Office and field teams needed one accessible source of truth.

Solution

  • One project record with lifecycle stages and clear responsibilities.
  • Customer, site, requirements, and documents together in one workspace.
  • Versioned proposals and detailed client-selection specifications.
  • Reusable structured data that reduces repetitive document work and manual handoffs.
  • Scheduling, activity history, role-aware access, and focused AI-assisted communication.

How we work together

We learn the real workflow, explain decisions without technical jargon, and improve the system through short feedback cycles.

Status

The application is being rolled out gradually.

For a long time, we managed our projects across scattered Excel spreadsheets, emails, and shared folders. We were looking for a way to bring everything into one place while keeping information easily accessible to everyone, both in the office and in the field. Denis is building a custom internal system for us that mirrors our actual processes, from the initial inquiry through to the handover of the finished family home.

What I value most is the collaboration itself: he asks how we really work, understood our fairly complex way of working very quickly, explains things clearly without technical jargon, and responds quickly to feedback. We are rolling the application out gradually, and we already know it will help us greatly with our day-to-day administration and make everyone’s work as efficient as possible.
